How to reduce a PDF for an upload limit

  1. 1 Read the limit. Upload forms usually state the maximum size and accepted formats next to the upload button. Note the exact number.
  2. 2 Remove what you don’t need. Use Delete Pages for blank or irrelevant pages, or Extract only the pages the form asks for.
  3. 3 Compress. Run the file through Compress and look at the before-and-after size it shows.
  4. 4 Still too big? Split it. If the portal accepts several files, split the PDF into parts under the limit.
  5. 5 Scanned document? Change the source. Re-scan at a lower resolution or in grayscale if your scanning app offers it, because the images are most of the file.

What Compress does and doesn’t do

PDFDistrict Compress rebuilds the internal structure of the file; it does not recompress or resample images or text. Documents that were edited and saved many times often shrink noticeably, while scans may barely change. It shows the real size before and after, and says so plainly if the file did not get smaller. Quality is not reduced, but neither is image size.

Check the result before you upload

Open the new file in Preview to confirm that all the required pages are there, in order and the right way up. PDFDistrict is a free, browser-based PDF toolkit that processes files locally — files are never uploaded.

Frequently asked questions

How do I reduce the size of a PDF for an online form?

Remove unnecessary pages, compress the file and check the new size, and split it into parts if the form accepts several files. For scanned PDFs, re-scan at a lower quality.

Why won’t my PDF get smaller?

If the PDF is mostly scanned images, structural compression has little to remove because the images are most of the file size.

Does compressing a PDF reduce its quality?

PDFDistrict Compress does not recompress images or text, so the pages look the same; the trade-off is a smaller reduction.

Is my PDF uploaded when I compress it?

No. Compression runs in your browser.

Check how much smaller your PDF gets

Compress shows the exact before-and-after size. Nothing is uploaded.
